7 Reasons Your Visa Application Might Get Delayed
From missing signatures to incorrect photos, these seven common oversights can add weeks to your visa processing time — and how to avoid each one.
Delays Are Usually Self-Inflicted
Some delays are outside anyone's control — seasonal volume, security checks, a consulate's own backlog. But most of the delays we see are caused by something in the file, and those are preventable.
1. Incomplete Documentation
The most common cause by a distance.
A consulate that needs one more document will usually request it rather than refuse outright — but that request restarts your clock, and the round trip can cost two or three weeks.
Prevention: work from a destination-specific checklist rather than a generic one, and have the file reviewed before submission. It is far cheaper to catch a gap on your desk than at the consulate.
2. Photographs That Don't Meet Specification
Photo specifications vary by destination — dimensions, background, head size within the frame, expression, whether glasses are permitted.
A photo that was accepted for a Schengen application may be rejected for a US one.
Prevention: have photos taken specifically for the destination you are applying to, tell the photographer which country it is for, and check the result against our photo checker before you submit.
3. Peak Season Volume
Appointment availability and processing both stretch around the European summer, school holidays, and the year-end period. In the UAE this is compounded by how many people apply in the same windows.
Prevention: apply six to eight weeks ahead as a rule, and further ahead for summer travel. Book the appointment as soon as your dates firm up.
4. Additional Checks
Some applications go to further review after submission. Reasons vary and are not always disclosed. Duration is unpredictable and cannot be accelerated.
Prevention: you cannot prevent this entirely, but a complete, internally consistent application with a clear purpose gives fewer reasons to look closer. Never book non-refundable travel while an application is under additional review.
5. Applying to the Wrong Consulate or Operator
Two separate mistakes, both costly.
Wrong consulate: for Schengen applications you must apply to your main destination by nights spent, or to your country of first entry if nights are even.
Wrong operator: not every destination uses the same application centre in the UAE. France uses TLScontact; Germany, Italy and the Netherlands use VFS Global; Spain uses BLS. Turning up at the wrong one wastes the appointment entirely.
Prevention: confirm both before booking anything — our visa requirements checker shows the right consulate and operator for your destination.
6. Inconsistent Personal Details Across Documents
A case worker cross-checks names, dates of birth, and passport numbers across every document in the file. A middle name present on your Emirates ID but missing from your bank statement, or a date of birth typed differently on the form than on the passport, forces a manual check that a clean file never triggers.
This is especially common for applicants whose name has more than one accepted transliteration — a mismatch doesn't mean anything is wrong, but the consulate has to resolve it before moving forward, and that resolution step is exactly where a file sits in a queue longer than it needs to.
Prevention: before submitting, lay every document side by side and check that the name, date of birth, and passport number are identical, character for character, across all of them. If your passport was renewed with a slightly different name spelling, carry the old passport too so the discrepancy has an obvious explanation attached.
7. Financial Evidence That Raises Questions Instead of Answering Them
A bank statement's job is to make your ability to fund the trip obvious at a glance. Two patterns routinely do the opposite: a large, unexplained deposit shortly before the statement date, and a balance that doesn't align with the salary or business income declared elsewhere in the file.
Neither is automatically disqualifying — but both invite a request for clarification, and that request is a delay you created yourself. If a deposit is a bonus, a property sale, or a gift, say so and attach whatever evidence exists (a sale agreement, a letter from the source) rather than leaving the case worker to guess.
Prevention: read your own statement the way a case worker would before you submit it. If a number would make you ask a question, answer it in the file before anyone has to ask.
Frequently Asked Questions
Can I speed up a visa that is already submitted?
Generally no. Some destinations offer paid priority services at the point of application, but once a file is in normal processing there is rarely any mechanism to accelerate it.
Should I contact the consulate if it's taking longer than quoted?
Published processing times are estimates, not deadlines, and contacting the consulate does not move a file forward. If you are meaningfully past the quoted window, the application centre can usually confirm status.
Does applying earlier increase my chance of approval?
It does not change the assessment, but it removes the pressure that causes people to submit incomplete files — and it means a request for further documents doesn't cost you the trip.
Will a case worker tell me exactly what's missing if my file is incomplete?
Not always in detail. Some consulates issue a specific document request; others simply state the file is incomplete without listing every gap. Treat any request as a sign to have the rest of the file reviewed too, not just the item named.
Does a delay mean my application is likely to be refused?
No. A delay and a refusal are different outcomes with different causes. Most delays are procedural — a document request, a queue, a routine additional check — and resolve with the visa eventually issued.
What if my travel date passes while I'm waiting?
This is why we advise refundable bookings for the application and buying real tickets only after issuance.
Prevention Is Cheaper Than Delay
Nearly every delay above costs more than the review that would have caught it. Our document review checks the complete file against your destination's requirements before you submit.
